After deploying a new Mobile Device Management solution, we built an end-of-life strategy leveraging automation within the client’s existing ServiceNow platform. Our build phase covered three core areas: scoping and integration (ServiceNow platform audit, asset data collection, device lifecycle rules configuration), deployment (automated collection workflows, user notification and return packaging setup, certified data wiping protocols), and defining roles (RACI constitution, team training, full process documentation).
The run phase orchestrates a fully automated end-of-life workflow across six steps: device detection (ServiceNow triggers on cancellation or upgrade), return and collection (pre-paid packaging sent to users), certified data wipe and audit, routing and assessment, value recovery (depot or recycling), and continuous reporting and KPI tracking. The entire process requires zero manual input from IT teams, ensuring scalability across the 40,000+ device fleet.
Automated end-of-life detection through ServiceNow triggers a structured return workflow: the user receives pre-paid packaging, ships the device to Saaswedo, where we perform a certified data wipe and complete device audit. The asset is then routed either to the Device Depot for emergency replacements at no additional cost, or to certified recycling partners who generate cashflow returned to the client. This circular IT asset management approach combines security, cost optimization, and sustainability.

This provided a secure and efficient method for disposing of outdated devices, ensuring compliance with data protection standards and eliminating the risks associated with improper IT asset disposal.
